UPDATED 10 OCTOBER 2026
Your information.
Handled with care.
This notice explains what happens when you enquire about or purchase Bilberry's service through our website, email, a Meta lead form or Stripe checkout.
Who is responsible
Bilberry is operated by Karol Petryniak, based in Kraków, Poland. For questions about your information, contact karol@bilberry.pro. Bilberry is an independent service, not a government organisation.
What we collect
The website enquiry form asks for your name, email, company, role, country, services and service area. A website and message are optional. A Meta lead form asks for your name, email, company, whether you own or manage a cleaning company, the country and cities you serve, and an optional website. Meta may prefill contact fields from your profile; please check them before submitting. We record submission and campaign information where available and the applicable privacy-notice version. Please don't include passwords, financial information or sensitive personal information.
Why we use it
We use this information to respond to your request, understand your business and discuss relevant opportunities or services. Where your enquiry concerns entering a service agreement, processing is necessary to take steps at your request before entering that agreement. For other business enquiries, we rely on our legitimate interest in responding to requested correspondence. We do not enrol you in newsletters or unrelated marketing.
Where it is stored and who can access it
Website enquiries are stored on our server in Warsaw, Poland, hosted by OVHcloud. Enquiries submitted through Facebook or Instagram lead forms are also processed and stored by Meta according to its privacy policy. We can download those enquiries to private working files for review and follow-up. Business email and correspondence use Microsoft 365. Access to our copies is restricted to the operator and service providers needed to run the website and communications. If the domain is routed through Cloudflare, Cloudflare also processes web traffic. Provider processing may take place outside Poland and follows their applicable privacy terms. We do not sell your enquiry data or publish it on the website.
Retention
Inactive website enquiries are automatically removed after 90 days; website backup copies expire within 14 days. We review downloaded lead files and enquiry correspondence manually and remove inactive enquiry records after 90 days unless an ongoing conversation, service relationship or legal obligation requires longer retention. Meta's retention of information on its own platform is governed by its terms and privacy policy. You can request earlier deletion of our copies by emailing us.
Payments and service delivery
Stripe processes checkout and payment information according to its privacy policy. Checkout can collect your email, company name and billing address for payment administration and agreed services. We receive transaction information, identifiers and payment status; we do not receive your full card details. Company information and application documents you provide are used to deliver the agreed service and maintain the correspondence. Processing for an agreed service is necessary to perform that agreement; financial records may also be retained to meet applicable legal obligations. Stripe maintains its own payment records under its policies. We keep relevant service and payment records privately for the service relationship and applicable recordkeeping requirements.
Cookies and technical information
The website uses an essential session cookie to protect the form, prevent duplicate submissions and remember campaign attribution during your visit. We do not currently run analytics or advertising pixels. Hosting and security services may keep technical logs, such as connection details, for operation and security.
Your choices and rights
You can ask us to access, correct or delete your personal information, restrict processing, or object to processing based on legitimate interests. Where applicable, you can request data portability. You can also lodge a complaint with the relevant data-protection authority, including Poland's UODO. Contact us using the email above to make a request, or tell us if you do not want further follow-up.
